Please read these terms carefully before booking your caravan experience.
Introduction
Welcome to BOW & ARROW – Luxury Day Caravans. Our passion is to redefine your travel experience and to make every moment on the road a lasting memory. The following Terms and Conditions (“Terms”) govern your use of our caravan rental services.
By booking a caravan trip with us, you acknowledge that you have read, understood, and agreed to abide by these Terms.
Booking Fee
A booking fee is required to secure your reservation, including your chosen caravan and travel dates. In the event of a cancellation, the booking fee will be refunded solely in accordance with the slabs set out in our Cancellation Policy.
Payment Methods
We accept payment only through bank transfer to our specified bank account.
Booking Confirmation
Your booking will be confirmed only upon receipt of 100% of the payment, which must be made at least 7 days before the journey date.
Amenities Provided
- A highly experienced driver and helper, both trained in CPR for any emergency.
- Seven recliner seats that swivel, stretch, and let you sink in, comfortably seating seven guests.
- One luxury double bed with a private TV, ideal for mid-day naps or quiet downtime.
- A smart TV and sound system for movie marathons or background music.
- A compact pantry and refrigerator to keep your snacks and drinks just right.
- A clean, private shower and toilet.
- Ambient lighting and air-conditioning that make you feel right at home.
- A layout designed for conversation, play, and rest, fully private and insulated from the driver’s cabin.
- An intercom to reach your personal assistant whenever needed.
- Complimentary Wi-Fi.
- Mobile charging points and a laptop holder at every seat.
- An emergency medical kit.
- Sports accessories for chess, badminton, cricket, and football.
- High-end, near-silent air conditioning and a temperature monitor for fine-tuning your comfort.
- Complimentary welcome snacks and toiletries.
Packages Offered
Our caravans are available for a range of guests and trip durations. For a short trip, we offer a 12-hour package; for longer journeys, we offer several flexible packages, as detailed below.
12-Hour Package (Roadie)
- Priced at INR 60,000 plus applicable taxes.
- Includes 250 km of complimentary travel.
- Any distance beyond 250 km is charged at an additional INR 100 per kilometre.
- A maximum extension of one hour may be granted in case of an emergency.
- Toll and permit charges are payable by the guest on an actuals basis.
24-Hour Package (Night Tripper – Super Saver)
- Priced at INR 90,000 plus applicable taxes.
- Includes 500 km of complimentary travel.
- Any distance beyond 500 km is charged at an additional INR 100 per kilometre.
- A maximum extension of one hour may be granted in case of an emergency.
- Toll and permit charges are payable by the guest on an actuals basis.
- For overnight halts, guests must inform BA of the itinerary in advance.
36-Hour Package (Wanderman – Bonanza)
- Priced at INR 1,40,000 plus applicable taxes.
- Includes 750 km of complimentary travel.
- Any distance beyond 750 km is charged at an additional INR 100 per kilometre.
- A maximum extension of one hour may be granted in case of an emergency.
- Toll and permit charges are payable by the guest on an actuals basis.
- For overnight halts, guests must inform BA of the itinerary in advance.
48-Hour-Plus Package (Boundless)
For trips exceeding 36 hours, the complete itinerary must be provided to BA at the time of booking and advance payment. BA reserves the right to accept or decline any such trip based on road and weather conditions, applicable government regulations, and other contingencies, with the safety of guests and of the caravan as the foremost priority. Pricing for these trips is based on the 24-hour package rate, multiplied by the number of days of usage.
BA Special Travel Services
BA has a dedicated team to plan your complete tour itinerary. Any guest who wishes BA to plan their trip may avail of BA Travel Services, which handle all arrangements including itinerary planning, hotel bookings, and meal stops. This service is charged in addition to the caravan rental package.
In Case of Breakdown
In the event of a breakdown arising from mechanical, electrical, or any other cause beyond BA’s reasonable control, BA will make reasonable efforts to arrange an SUV or equivalent vehicle within a reasonable time to facilitate the guests’ continued travel. BA’s sole obligation in such circumstances is limited to arranging such alternate transport, and BA shall bear no liability whatsoever beyond this obligation.
BA shall not be liable for, and the guest expressly waives any claim in respect of, any delay, inconvenience, loss of time, missed reservations or appointments, additional costs incurred by the guest (including accommodation, meals, or onward transport arranged independently), or any indirect, consequential, or special loss of any nature arising from a breakdown or any other unforeseen situation. No reduction, refund, or credit of the package fee shall be applicable on account of time lost due to a breakdown or any other unforeseen event. Guests are advised to factor in such contingencies and to hold adequate travel insurance.
Deviation from Agreed Itinerary
Guests must share a complete travel itinerary at the time of booking. BA uses this to plan routes, driver schedules, and permits. If guests wish to deviate from the agreed itinerary during the trip — whether by adding stops, changing the route, or extending the distance — the following apply:
- Extra charges: BA will charge for any additional kilometres, tolls, permits, waiting time, or other costs arising from the deviation. These charges must be paid on demand.
- Right to refuse or cancel: If BA determines that a deviation is unsafe, not permitted under applicable regulations, or operationally not feasible, BA may decline the request or cancel the trip immediately. No refund will be provided for any unused portion of the trip in such cases.
- Permit limitations: Some routes or locations require advance permits that cannot be arranged at short notice. BA is not liable if a deviation request cannot be accommodated due to such restrictions.
This clause applies to all packages, including those where BA has planned the itinerary.
Guest Conduct
Guests are expected to behave in a respectful and responsible manner towards BA’s crew and fellow travellers at all times. The following are strictly prohibited:
- Aggressive, abusive, or threatening behaviour towards crew or other guests.
- Causing deliberate damage to the caravan or its fittings.
- Excessive noise or any behaviour that disrupts the safe operation of the vehicle.
- Consumption of alcohol to the point of causing nuisance or endangering safety.
BA reserves the right to terminate the trip immediately and without refund if any guest engages in conduct that, in BA’s reasonable judgment, is disruptive, unsafe, or in breach of these Terms. The offending guest(s) and, where applicable, the entire group may be required to disembark at the nearest suitable location.
Complimentary Package Kilometres
The complimentary kilometres for each package are measured from the caravan depot at the start of the trip to the caravan depot at its conclusion. The package hours, however, are counted from the guests’ boarding point at the start and end at the same point.
Payment Timings
The full package fee must be paid 7 days in advance of the booking date. In addition to the package fee, a further 10% of the package fee must be paid as a booking fee / security deposit. If BA’s services are not used, the total amount will be repaid in accordance with the Cancellation Policy. If the services are used, the additional 10% will be treated as a security deposit and repaid in accordance with the Repayment Policy.
Extra Charges
Any expenses not included in the package are to be borne directly by the customer. These include, but are not limited to, additional amenities, tolls, permits, parking, entry charges at various locations, campsite food, lodging, special permits, and service and activity charges.
Stationary Operation of the Caravan
- The caravan may not be used in stationary mode as a place of stay for extended periods.
- If the caravan is used in stationary mode for more than one hour, a charge of INR 1,000 per hour will apply.
- Overnight parking must be at an established hotel, resort, or other approved parking space, and BA must be kept informed.
Travel Regions
Our caravan rental services are currently available from Chennai, covering neighbouring states. Certain regions may attract additional fees or require permits. Our CRM team will inform you of any such costs at the time of booking.
Cancellation and Refund
- All bookings may be modified up to 3 working days before the caravan booking date.
- If cancellation is made at least 3 days before the caravan booking date, 50% of the total booking amount will be refunded, after adjusting for GST and the service fee.
- No refund will be provided for cancellations made within 3 days of the caravan booking date.
- BA is not liable for the non-refund of any third-party booking cancellations. In such cases, refunds will be applicable only as per the relevant property’s policy.
- Refunds will be initiated within 7 working days from the date of cancellation.
- All refunds will be made by bank transfer.
Repayment of Booking Fee / Security Deposit
- The additional 10% of the package fee will be treated as a booking fee / security deposit.
- In the event of cancellation, this 10% will be treated as a booking fee and repaid in accordance with the Cancellation Policy.
- If the services are used, this 10% will be treated as a security deposit, applied towards any additional kilometre charges or towards any damage to the caravan caused by the guest’s wilful misconduct.
Changes to Bookings
Modification Requests: If you wish to make any changes to your booking, please contact us as soon as possible. All modification requests are subject to availability and may incur additional charges.
Date Changes: Requests to change your booking dates must be made at least 5 days before the original check-in date. Date changes requested after this period may not be accommodated.
Extension of Usage: Requests to extend the trip must be made at least 2 days before the original checkout date and are subject to availability and additional charges.
Cancellations & Refunds: If changes to your booking result in a cancellation, our standard Cancellation Policy will apply.
Confirmation of Changes: All changes must be confirmed in writing by our customer service team. Verbal agreements are not binding until you receive written confirmation from us.
Special Requests: We will make every effort to accommodate special requests; however, we cannot guarantee that all requests will be met.
Third-Party Bookings: BA is not responsible for refunds relating to third-party bookings (for example, campsites). Such refunds are governed by the relevant property’s own policy.
Publication of Customer Content
By using our services, you agree that we may share your reviews, testimonials, photographs, or videos of your trip on our website, social media channels, brochures, and other promotional materials. We will not share personal information such as your full name or contact details without your consent. If you prefer that your content not be published, please inform us in writing at the time of booking or during your trip.
Limitation of Liability and Disclaimer
- We do not guarantee, represent, or warrant that your use of our service will be uninterrupted, timely, secure, or error-free.
- We do not warrant that the results obtained from the use of the service will be accurate or reliable.
- We may withdraw the service for indefinite periods or cancel it at any time without notice to you.
- You expressly agree that your use of, or inability to use, the service is at your sole risk. The service and all products and services delivered through it are provided on an “as is” and “as available” basis, without representations, warranties, or conditions of any kind, whether express or implied.
- In no event shall the Company, its directors, officers, employees, affiliates, agents, contractors, interns, suppliers, service providers, or licensors be liable for any injury, loss, claim, or any direct, indirect, incidental, punitive, special, or consequential damages of any kind.
- Notwithstanding anything contained above, our total liability for any deficiency in service shall not exceed the amount of the fee received by us on that account.
Insurance
Guests travelling with us are covered by basic vehicle insurance. In the event of an emergency requiring evacuation and hospitalisation, it is the guest’s responsibility to hold adequate medical and travel insurance to cover in-hospital medical expenses and associated costs once admitted.
Force Majeure & Natural Calamities
BA shall not be held responsible for any disruption caused by natural calamities such as heavy rain, landslides, floods, earthquakes, or any other act of God. Customers must adhere to the company’s travel policy and cooperate fully in all such situations.
Claim for Damage
You must inspect the caravan before signing and immediately bring any fault to our notice. If you do not report any defect or deficiency, the caravan shall be deemed to have been received in good condition, and you shall be liable to pay the depreciated replacement cost, together with the corresponding labour cost, of any affected item, equipment, gadget, or the caravan itself.
Tourist Site Closure
BA is not liable for the closure of tourist destinations by state governments, local authorities, or unions. No claims or refunds will be entertained in such cases.
Campsite Experience
While we maintain hospitality tie-ups with selected campsites, hotels, and resorts, BA is not responsible for the quality of service, hygiene, or food provided by these third-party partners.
Road Accessibility & Terrain Restrictions
Our caravans are not designed for off-roading or non-motorable terrain. Customers intending to travel to high-altitude or rugged areas must arrange local 4x4 vehicles in accordance with local taxi union guidelines.
Entry Restrictions
Certain cities, towns, or sites may restrict caravan entry. In such cases, customers must arrange local transport for sightseeing. The assigned driver reserves the right to refuse or discontinue the journey without prior notice if road conditions are unsuitable.
Vehicle Inspection & Maintenance
Customers are advised to inspect the vehicle at the time of delivery and to report any existing damage. Any damage arising after handover will be the customer’s responsibility. Customers are expected to ensure the basic upkeep of the caravan during the rental period and must avoid any action that may damage the vehicle.
Authorised Drivers Only
Only BA drivers and helpers are permitted to operate the vehicle. Unauthorised driving is strictly prohibited.
Use of the Vehicle
Customers must undertake that the vehicle will not be used for any of the following: illegal activities, racing or competitions, off-roading, or any activity that violates company policy or local or state laws.
Compliance with Laws
Customers are obliged to comply with all applicable local laws during the trip. BA bears no responsibility for any violations, fines, or penalties incurred.
Change in Pricing
All prices displayed on our website and app are current and subject to change without prior notice.
Exclusions
The following are not included in the caravan rental: breakfast, lunch, and dinner; special permits and local passes; bonfires and any other activities at campsites; accommodation at campsites; miscellaneous personal expenses; and tolls, permit charges, and parking fees.
Default Conditions
The following are considered Default Conditions. The occurrence of any Default Condition during your trip shall result in the immediate suspension of the trip without refund and shall entitle the Company to initiate appropriate legal action against you and/or your co-travellers.
- You shall not bring or carry any pet, other animal, or plant inside, outside, or alongside the caravan.
- You shall not smoke, or permit smoking, or use or permit the use of any narcotic or similar substance inside the caravan at any time.
- You shall not permit anyone inside the caravan other than those recorded as guests.
- You shall not carry, or permit to be carried, inside the caravan any contraband or dangerous items such as fuel, explosives, or weapons.
- You shall not carry any items prohibited under the Wildlife Protection Act, the Narcotics Act, customs law, or any other local or Indian law.
- At the time of booking, valid identity proof for all travelling persons must be provided (Aadhaar card, passport, voter ID, or any other identity proof recognised as legal by the Government of India).
- Only guests who have provided their personal identity documents will be permitted to travel in the caravan.
Additional Terms
The Company reserves the right to add, delete, or alter any of the terms and conditions contained herein without reference to you. Accordingly, please keep yourself updated about these Terms and Conditions.
Governing Law & Jurisdiction
- This agreement shall be governed by and construed in accordance with the laws of India.
- Any disputes arising out of or in connection with this agreement shall be subject to the exclusive jurisdiction of the courts located in Chennai, India.
- In the event of any dispute, the parties shall first attempt to resolve the matter amicably through negotiation.
- If the dispute cannot be resolved through negotiation within 30 days, it shall be referred to and finally resolved by arbitration under the Arbitration and Conciliation Act, 1996, by a single arbitrator.
- The seat of arbitration shall be Chennai, India, and the language of arbitration shall be English. The arbitrator’s decision shall be final and binding.
